Job Overview
We are seeking a proactive and detail-oriented Wedding Planner Assistant to support our event planning team in creating unforgettable wedding experiences. This role involves collaborating with clients, vendors, and staff to coordinate all aspects of wedding events, ensuring seamless execution from inception to completion. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for hospitality and event management. Previous experience in hospitality, catering, or event planning is highly valued.
Responsibilities
- Assist in coordinating wedding events by managing timelines, vendor communications, and logistical details
- Support the planning and execution of wedding ceremonies and receptions, ensuring client expectations are met or exceeded
- Negotiate with vendors such as caterers, decorators, and entertainment providers to secure the best services within budget
- Contribute to marketing efforts by promoting wedding packages and upselling additional services to clients
- Manage contracts and ensure all agreements are properly documented and adhered to
- Collaborate with catering and banquet teams to coordinate menu selections, setup, and service flow
- Provide exceptional customer service by addressing client inquiries promptly and professionally
- Assist with event marketing strategies to attract new clients through social media, networking, and community outreach
- Oversee event setup and breakdown to ensure smooth operations during wedding day
- Maintain organizational records related to bookings, payments, contracts, and vendor contacts
Skills
- Strong negotiation skills to secure favorable terms with vendors and clients
- Excellent marketing abilities with experience in event marketing and promotion strategies
- Proven upselling skills to enhance client packages and increase revenue opportunities
- Experience in event planning, management, and coordination with a focus on weddings or similar events
- Exceptional customer service skills with a friendly and professional demeanor
- Effective time management to handle multiple projects simultaneously under tight deadlines
- Knowledge of events management software, budgeting tools, and contract administration
- Strong communication skills for liaising with clients, vendors, and team members
- Organizational skills essential for maintaining detailed records and schedules
- Experience in banquet operations, catering coordination, or hospitality environments such as restaurants or hotels is preferred
- Familiarity with fundraising activities related to community or charity events is a plus
