Position: Administrative Assistant & Receptionist
Details at a Glance:
- TIME COMMITMENT: Full Time, M-F, Hours: 8:30AM-4:30PM or 9:00AM-5:00PM.
- REQUIREMENTS: Associate's Degree or higher and at least 3 years of experience in office setting and administrative assistance. Pass background check.
- WAGE: Starts at $18/hr; negotiable depending on experience.

Who We Need:
We are seeking a self-motivated, highly organized, and detail-oriented team player to fulfill the Full-Time position as Administrative Assistant and Receptionist at our administrative office in the northwest side of Chicago (right off the Forest Glen Metra station). A compassionate and respectful attitude, especially for the individuals we serve and their disabilities, is a must.
What You'll Do:
As the Administrative Assistant you will work closely with and report directly to the Executive Director, as well as support other members of the leadership team, in a variety of areas including reception, general office and files maintenance, light bookkeeping, hiring/personnel support, and fundraising. These duties/responsibilities include but are not limited to:
- Reception/Administrative/Office:
- Ensure that all records and files within the scope of responsibility are properly safeguarded, kept confidential, kept current and accurate, and maintained in an organized and timely manner.
- Answer phones and greet visitors with a welcoming and helpful attitude; route phone calls and voicemails.
- Open and distribute mail.
- Maintain purchase order logs and other assistance to the Finance Dept.
- Maintain donors and members database and mailing lists.
- Assist the Executive Director in mailing thank you letters, fundraising appeals, and various memos.
- Assist the Executive Director in coordinating various meetings, including both public relations and internal admin affairs.
- Assist in other tasks and/or special projects as delegated by the Executive Director.

- Hiring/Personnel:
- Post and monitor job openings and applications.
- Pre-screen applicants and schedule interviews for the Executive Director.
- Gather and process documents pertaining to the hiring and training of new staff.
- Prepare and continuously maintain personnel files for each new hire as well as established staff, to ensure certifications, credentials, trainings, and other requirements are kept up-to-date and accurate.

- Fundraising:
- Significant assistance in the planning and coordination of fundraising events, including attendance and participation at events.
- Research and solicit donations, both in-kind and monetary.
- Maintain records and profiles of donors and sponsors, including clients/families, board members, businesses, and all other individual donors.
- Develop and recruit volunteer resources.
- Develop relevant public relations, marketing, and communications.
Qualifications:
- Pass background check.
- REQUIRED EXPERIENCE: At least 3 years of experience in office setting and administrative assistance.
- REQUIRED EDUCATION: Associate's Degree or higher.
- SKILLS:
- Independent and self-motivated, without a strong need for micro-managing.
- Able and willing to follow directions and ask questions.
- Effective interpersonal communication and people skills, both with patrons and fellow staff; strong customer service skills.
- Highly organized and detail-oriented.
- Basic computer skills, including word processing and spreadsheets.
- Experience in mail merging and other Excel skills strongly preferred.
- Experience in light bookkeeping strongly preferred.
- A compassionate and respectful attitude, especially for the individuals we serve and their disabilities.
