Position Summary

We're seeking a meticulous, solutions oriented Manager, Contracts to lead end to end contract lifecycle management and support the operational effectiveness of the Contracts department. You will serve as a subject matter expert across systems (LinkSquares, Sertifi, SharePoint, Microsoft CRM), ensure accurate documentation and reporting, supervise assigned staff, and collaborate cross functionally to manage risk, maintain compliance, and drive process improvements aligned to organizational goals.

Key Responsibilities

Contract Lifecycle Management

  • Lead end to end management of contracts, addendums, schedules, annexes, and other legal documents using LinkSquares, Sertifi, and SharePoint.
  • Maintain comprehensive, well organized electronic files for all legal documentation.
  • Supervise and, where appropriate, draft and finalize legal documents for member hotels and internal stakeholders.

Operational & Administrative Support

  • Process member terminations in line with established procedures.
  • Track payments for announcements and manage tasks related to Opportunities and Accounts within Microsoft CRM, including data entry and data audits.
  • Support departmental reporting needs, including monthly performance reporting, for internal and cross functional stakeholders.
  • Perform project roles and assignments as needed to support departmental operations.

Risk Management & Compliance

  • Identify contract related exposure, propose mitigation strategies, and escalate issues when necessary.
  • Ensure adherence to regulatory, legal, financial, and organizational policy requirements.
  • Cross Functional Collaboration
  • Partner with Finance, Sales, IQA, and Operations to support business needs and deliver high quality contract services.
  • Develop contracting strategies that reduce risk, improve efficiency, and align with organizational objectives.

Process Improvement

  • Implement tools, templates, and workflows that streamline contract operations and improve data integrity and cycle time.

Leadership & Supervision

  • Supervise assigned staff and perform duties under the general supervision of the Director, Contracts; provide coaching, set clear expectations, and uphold service standards.

Required Qualifications

  • Demonstrated proficiency in contract lifecycle management, typically gained through several years of relevant experience  
  • Experience with complex commercial service agreements or hospitality related contracts.
  • Bachelor's degree in business, law, or a related field.
  • Strong knowledge of contract law and risk assessment.
  • Proficiency with contract management systems (e.g., LinkSquares, Sertifi).
  • Strong written and verbal communication skills.
  • Experience with Microsoft CRM systems.
  • High attention to detail with strong organizational and prioritization abilities.
  • Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Demonstrated ability to exercise sound judgment, work independently, and resolve problems proactively.
  • Proven capability to manage multiple projects and deadlines.
  • Self starter with strong work ethic; team oriented and skilled at building relationships.
  • Flexibility to work in a dynamic, fast paced environment.

Preferred Qualifications

  • Paralegal certificate.
  • Experience in the hospitality industry.
  • Bilingual proficiency in Spanish and English.
  • Experience supervising or managing staff

Working Conditions

This role will be based out of our Preferred Travel Group office in Newport Beach, CA.  With our in-office philosophy, our associates are expected to be in the office at least three days per week, supporting a healthy balance between in-person collaboration and flexible remote work.

Salary

$100,000 - $120,000 per year; actual compensation within this range will be determined by multiple factors including candidate location, experience and expertise.
