Job Overview
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily office operations and manage financial records. This role requires a proactive individual with strong administrative, bookkeeping, and team management skills to ensure the smooth functioning of our office environment. The ideal candidate will possess excellent communication and organizational skills, along with experience in office management, human resources, and financial processes. This position offers an opportunity to contribute to a dynamic team in a professional setting, supporting various operational functions including event planning, vendor relations, and staff coordination.
Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems
- Oversee calendar management and schedule appointments for staff and clients
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Manage payroll processing and human resources functions such as employee records and benefits administration
- Coordinate event planning activities for company functions or client events
- Supervise office staff and provide training & development opportunities
- Maintain vendor relationships and manage procurement processes
- Oversee filing systems, document management, and record keeping to ensure compliance and organization
- Assist with budgeting activities and monitor expenses against financial plans
- Ensure effective communication within the team through phone etiquette and clear correspondence
- Support medical office management tasks if applicable, including patient scheduling or record keeping
Experience
- Proven experience in office management or administrative roles with a strong background in bookkeeping or accounting
- Supervising experience with team management responsibilities
- Proficiency in QuickBooks or similar accounting software
- Experience managing schedules, calendars, and multi-line phone systems
- Knowledge of vendor management, payroll processing, budgeting, and human resources functions
- Strong organizational skills with attention to detail in clerical and administrative tasks
- Excellent communication skills both written and verbal
- Prior experience in medical office management is a plus but not required
- Demonstrated ability to handle multiple priorities efficiently in a fast-paced environment

Pay: $ $29.54 per hour
