Qualifications

  • Some college coursework preferred
  • Previous Supervisory experience and demonstrated leadership required
  • Strong leadership communication and interpersonal skills required
  • Minimum of three-year experience in materials/supply management and computerized inventory management systems
  • Working knowledge of healthcare materials management systems preferred
  • Valid Connecticut driver's license and clean driving record required

Job Summary

The Materials Management Supervisor supports the Manager in developing and achieving departmental goals through staff education, communication, and leadership, including conducting team meetings. Serving as a role model for Supply Associates (SAs). Inventory Control Specialist and Receiving team members, the Supervisor ensures exemplary customer service, operational efficiency, and inventory accuracy. This role oversees the daily activities of SAs, including requisition fulfillment, par-level maintenance, and customer support. In collaboration with the Inventory Control Specialist, the Supervisor ensures accurate inventory reconciliation through regular cycle counts and physical inventories, maintaining an accuracy rate of 95% and higher. Further they are accountable to ensure Receiving functions of daily delivery and shipments are completed in an accurate and timely manner.

Physical Demands

  • Regular pushing of supply carts up to 100 lbs. over long distances
  • Frequent lifting of packages or equipment up to 40 lbs.
  • Reaching, bending, and twisting to stock shelves at varying heights
  • Frequent computer and handheld device use for data entry and reporting
  • Occasional exposure to dust, water, or fumes

Cognitive Demands

  • Proficient in data interpretation, basic mathematical calculations, and report generation
  • Proficient in Microsoft Outlook, Word, and Excel; capable of ordering supplies and managing system transactions
  • Communicates issues promptly and factually to the Manager with supporting documentation

Work Demands

  • Occasional weekend or after-hours response for emergencies
  • Ability to meet time-sensitive deadlines and handle work pressures effectively

Essential Functions

  • Serves as a Supply Associate in addition to providing backup to all Supply Associate (SA), Inventory Control Specialist, and Receiving essential functions.
  • Demonstrates timely and effective problem-solving related to customer service or employee concerns
  • Collaborates with the Manager to relay feedback from clinical managers to staff
  • Provides clear written and verbal communication to team members regarding operations and objectives
  • Leads mentorship and training of staff; maintains documentation and communicates progress with the Manager
  • Schedules staff to ensure adequate coverage across all shifts and during vacations
  • Assists with staff evaluations, performance monitoring, and reporting to the Manager
  • Manages onboarding for new associates, including training schedules, task/process education, and product knowledge development
  • In working with Inventory Control Specialist, participates in inventory audits, reconciles data within the Veradigm Supply Chain System (MMSCS), and generates pick lists
  • Oversees proper use of the Pyxis system and coordinates staff education with clinical units
  • Adjusts supply par levels as approved by the Manager
  • Works with Inventory Control Specialist to ensure inventory variances do not exceed 5% through consistent cycle counting and verification
  • Leads and documents monthly audits of all Crash Carts in compliance with Department of Health, Charter requirements, and Life Safety Codes
  • Maintains the stockroom in an organized and efficient manner to support smooth operations
