Description

The Administrative Assistant provides crucial support to faculty, students, and department chairs by managing daily office operations, scheduling (meetings, classes, travel), handling correspondence/reports, maintaining records, coordinating events, and serving as a key liaison, ensuring smooth academic functions and student services, requiring strong organization, communication, and techical skills.

Examples of Duties

Answer phone inquiries, direct calls, and provide basic and accurate information to customers about the department and Jackson State University;

Perform clerical duties, create memos, maintain files, and organize documents, photocopy, fax, etc, as needed;

Assist in planning departmental and University events, meetings, and employee team building activities or special projects; the department chair and faculty to prepare reports and presentations, collect and store data in a secure place;

Manage and maintain files, records, and correspondence for meetings Type documents, drafts, and reports;

Arrange schedules for onsite and virtual meetings and conference rooms;

Assist chair and faculty with travel and expense reports; Organize class schedules;

Prepare information and research for departmental needs; Oversee mail deliveries, packages, and couriers;

Purchase, track, and invoice office supplies for the department;

Arrange itineraries and executive correspondence and perform other responsibilities as needed.

Typical Qualifications

Minimum of a Associate Degree;
Minimum of three-years prior experience in handling office and academic responsibilities;
Must have good customer service L Proficiency in basic computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel);
Must be able to schedule appointments, update calendars, assign classrooms, manage online courses and related activities;
Excellence in verbal and written communication skills;
Highly organized, must be able to multitask and able to work well in a changing technological environment;
Willingness to learn and to grow with the department
