Description:

The Administrative Assistant is responsible for supporting the daily operations of Triage Partners' corporate office. This role focuses on office administration, corporate communications, scheduling, purchasing support, and inventory coordination. The Administrative Assistant serves as a central support resource for leadership and corporate staff, ensuring office logistics, communications, and administrative needs are handled efficiently and professionally.

This position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:

Corporate Office Administration

  • Manage day-to-day administrative tasks for the corporate office
  • Maintain office organization, supplies, and shared workspaces
  • Monitor shared calendars and manage scheduling for corporate needs
  • Set appointments on behalf of corporate requests and leadership
  • Support general office operations and ad hoc administrative needs

Communications & Correspondence

  • Draft company letters and professional correspondence
  • Draft and distribute corporate communications in coordination with leadership
  • Ensure communications are accurate, timely, and aligned with company standards

Mail, Shipping & Logistics

  • Manage USPS mail, including receiving, sorting, and distributing correspondence
  • Send and receive packages and coordinate shipping needs
  • Track deliveries and maintain shipping documentation

Purchasing & Inventory Support

  • Assist with purchasing requests and vendor coordination
  • Track orders, receipts, and related documentation
  • Manage inventory of field supplies and office materials
  • Organize and maintain the office stock closet
  • Coordinate with internal teams to ensure required materials and supplies are available

Vendor & Documentation Management

  • Manage vendor Certificates of Insurance (COIs)
  • Track documentation and ensure records are current and organized
  • Coordinate with vendors as needed to obtain or update required documentation

Qualifications:

  • High school diploma required; associate's or bachelor's degree preferred
  • 2+ years of experience in an administrative assistant or office support role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • High attention to detail and professionalism
  • Excel at Microsoft Office
  • Ability to manage multiple priorities independently
