We are seeking a dynamic and detail-oriented Estimator/Administrative Assistant to join our team. This dual-role position offers an exciting opportunity to contribute to project planning and client communication while supporting daily office operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, ensuring smooth workflow and accurate estimates. This paid position is perfect for someone eager to grow within a fast-paced environment while providing exceptional administrative and estimating support.

Responsibilities

  • Prepare detailed estimates by reviewing plans, specifications, and client requirements with precision and attention to detail.
  • Manage incoming calls using multi-line phone systems, providing professional customer service and support.
  • Maintain organized filing systems for documents, contracts, and correspondence.
  • Following up with the properties to ensure the estimate was received, or if they have any questions.
  • Creating work orders for approved estimates.
  • Keeping track of invoices.
  • Support office management tasks such as calendar scheduling, appointment setting.
  • Utilize software tools, including Microsoft Office, Google, QuickBooks, and data entry platforms, to ensure accurate record keeping
  • Assist with clerical duties such as filing, copying, scanning, and data entry to keep the office running smoothly

Experience

  • Proven office experience with strong organizational skills and attention to detail or estimating regarding construction, such as plumbing, electrical, and building.
  • Prior clerical or administrative experience preferred, especially in customer service or customer support roles.
  • Familiarity with QuickBooks accounting software is advantageous, or prior swimming pool experience.
  • Bilingual abilities are a plus for effective communication with diverse clients and team members
  • Excellent phone etiquette with experience handling multi-line phone systems in a professional setting
  • Effective communication and interpersonal skills.
