JOB DESCRIPTION:

We are seeking a highly organized, detail-oriented, and motivated Administrative Assistant to join our growing property management team. This role is essential to the daily operations of our company and serves as a key support position for both our management team and our clients.

The ideal candidate is proactive, professional, adaptable, and thrives in a fast-paced environment. You should enjoy working with people, managing multiple priorities, and keeping operations running smoothly and efficiently. Organization is key in this role.

Prior property management or administrative assistant with clerical & office experience is a plus as they will work hand in hand with the property management team.

Responsibilities:

  • Provide administrative support to property management team, including but not limited to: answering phones, responding to emails & text messages, and managing calendars.
  • Assist in the preparation of leasing documents, contracts, and other administrative paperwork.
  • Data Entry
  • Maintain accurate records of tenant communications, lease agreements, and property maintenance requests.
  • Assist with tenant onboarding and offboarding processes.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • In person greeting of tenants and clients at office.
  • Assist with accounts payable and accounts receivable tasks, including invoice processing and rent collection.
  • Maintain office supplies inventory and place orders as needed.
  • Coordinate change overs of utilities.
  • Communication with landlords regarding updates on their investment properties, outstanding projects, & day to day operations that are pertinent to their relative property.
  • Assist with special projects and other duties as assigned by management.
  • Assist with coordination of vendors, ordering of appliances, & other general duties relating to maintenance requests.

Requirements:

  • Proven experience in an administrative role, preferably in property management or real estate.
  • Proficiency in Microsoft Office Suite or Google equivalent.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Strong communication & customer service skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Knowledge of property management laws and regulations is a plus.
  • Experience with property management software, AppFolio, is a plus.
  • Ability & willingness to learn software & protocols set by company.
  • Positive attitude and willingness to learn and grow within the company.

Job Type: Full-time

Pay: $17.00 per hour
