About you and this role

Diamond Infrastructure Solutions is seeking our next Site Infrastructure Admin & ODMS Coordinator to support St. Charles Operations in Hahnville, LA .

This role will be the Administrative Specialist for Infrastructure and ES&S providing general administrative support the leaders and department.  In addition, the role will be the ODMS Coordinator for Site Infrastructure, ES&S, and SIM Maintenance departments.  You exercise discretion and independent judgement in managing flow of work.  This role requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.

Responsibilities
  • Provide a wide variety of professional administrative support under limited direction to leaders, colleagues or groups in the organization.
  • Competent in scheduling meetings, booking conference rooms, ordering food/drink, and managing the visitor process. May attend meetings to assist with presenting materials or taking notes.
  • Complete expense reports for self and others and submit on behalf of leader and/or team. Monitor and track expenses against budgets; resolve discrepancies and provide reports to cost center owner or budget manager.
  • Demonstrate good problem-solving skills. Capable of prioritizing competing requests successfully and multi-tasking. Demonstrate comfort and skill when using technology. Strong organization and time management skills. Good planning skills and ability to anticipate needed resources. Able to adapt to change.
  • Good team player and a fixer. Help troubleshoot issues and serve as a point person for questions or guidance. May act as department focal point with external vendors, service providers, etc.
  • Maintain and add documents into SharePoint sites and Teams. Act as the technical office equipment focal point to enable daily effectiveness.
  • Teach and coach others how to use standard office equipment and software systems. Maintain documents and records in accordance with company guidelines. 
  • Engage in onboarding of new employees and contractors into the plant/department.
  • Lead overall ODMS "maintain" efforts for the business in the department.
  • Coordinate and work with other ODMS support and implementation roles to "implement" and "maintain" the ODMS.  Specifically owning the WebEDMS, and MOC tools.
  • Act as the organization subject matter expert for the overall management system.
Required Qualifications
  • A minimum of a High School diploma or GED equivalent.
  • At least 3 years of experience in a professional business role, such as administrative assistant, project coordinator, event coordinator, project management, administrative role within the military, or similar type role.
  • Experience with all Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

  • A minimum requirement for this U.S. based position is the ability to work legally in the United States.  No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.

  • Administrative Proficiency: Skilled in managing calendars, scheduling meetings, coordinating travel, and handling expense reports with minimal supervision.
  • Organization & Time Management: Strong planning skills with the ability to prioritize competing requests, manage multiple tasks, and anticipate resource needs with little direction.
  • Communication & Coaching: Excellent interpersonal skills to coach employees and collaborate with stakeholders effectively.
  • Compliance & Data Management: Detail-oriented approach to maintain accurate records, track compliance, and support audits.
  • Continuous Improvement: Analytical mindset to drive process improvements and manage systems like ODMS.
  • Technology Savvy: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), SharePoint, Teams, and standard office equipment. Comfortable teaching others how to use these tools.
