About
We are seeking a proactive and highly organized Web Operations Specialist to join our Web Experience Operations team. This role is pivotal in ensuring the smooth functioning of our project management systems, enhancing team collaboration, and supporting the continuous improvement of operational processes. The successful candidate will be responsible for process documentation, managing key tools (Monday.com, Jira, Confluence), and driving communication across multiple teams. You will work closely with Web Project Managers, Operations Manager, and cross-functional stakeholders to deliver scalable solutions, facilitate change management, and foster a culture of transparency and efficiency.
Key Responsibilities:
Process Documentation:
- Develop, maintain, and continuously improve process documentation for the Web Experience team
- Ensure all procedures, guidelines, and workflows are clear, accessible, and up to date
Tool Management & Optimization:
- Administer and optimize project management tools such as Monday.com and Jira.
- Troubleshoot and resolve issues related to workflows, automations, reports, and system integrations.
- Propose and implement enhancements to tool configurations based on team needs and best practices.
- Liaise with external vendors to ensure project management tools and services meet team needs and resolve any tool-related issues
Project & Operations Support:
- Support Web Project Managers and Operations Manager in day-to-day operational challenges
- Act as a point of contact for tool-related questions and process clarifications
- Assist in onboarding new team members to project management tools and processes
- Support and optimize the intake process for web requests and projects, ensuring clear assignment and timely follow-up
- Provides support in building and maintaining reports to track capacity planning, team achievements, and operational metrics, enabling data-driven decision-making and continuous improvement within the team
Change Management & Communication:
- Liaise with internal and external teams to understand requirements and communicate process/tool changes.
- Support change management initiatives by documenting, communicating, and training new processes and solutions.
- Promote a collaborative and improvement-focused team culture. Plays a key role in fostering a culture of recognition by promoting, documenting, and communicating team and individual achievements, ensuring contributions are valued and celebrated within the Web Experience team.
Continuous Improvement:
- Identify opportunities to streamline processes and increase operational efficiency
- Gather feedback from stakeholders and translate insights into actionable improvements.
- Monitor adoption and effectiveness of implemented solutions
- Track and report on service level agreements (SLAs), resource allocation, and request status to ensure operational efficiency.
Qualifications:
- 5+ years of experience in process documentation, tool administration, or project coordination; experience in a digital/web environment is a plus.
- Strong expertise in project management tools, specifically Monday.com and Jira (workflow creation, automation, integrations, reports)
- Demonstrated ability to document processes clearly and concisely for diverse audiences.
- Excellent communication and interpersonal skills; comfortable aligning with multiple teams and stakeholders
- Proactive problem-solving mindset with the ability to manage multiple tasks and meet deadlines
- Experience supporting change management and fostering team culture improvements is highly desirable
- Demonstrated ability to work effectively in ambiguous and evolving environments, adapting to changing priorities and finding solutions on short notice
