Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. Bilingual skills are a plus, as well as experience with medical or dental reception, bookkeeping, and customer service. Duties
- Manage front desk responsibilities, including greeting visitors and clients with professional phone etiquette
- Operate multi-line phone systems efficiently, directing calls appropriately
- Perform data entry and maintain accurate filing systems using digital tools such as Google Workspace and Microsoft Office
- Schedule appointments and manage calendars for staff or medical/dental practitioners
- Handle correspondence, proofreading documents, and preparing reports with attention to detail
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management tasks such as supply ordering, document organization, and record keeping
- Provide excellent customer support via phone or in person, ensuring positive interactions at all times
- Perform general clerical duties including typing, photocopying, faxing, and maintaining organized files
Experience
- Prior office experience is preferred, including roles such as receptionist, administrative assistant, or personal assistant
- Experience with medical or dental reception is advantageous
- Familiarity with office management software such as QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace is essential
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills both verbal and written; bilingual abilities are a plus
- Proven ability to manage time efficiently and prioritize tasks effectively
- Demonstrated proficiency in data entry, proofreading, and maintaining accurate records
- Previous experience handling multi-line phones and providing exceptional customer service is highly desirable
Job Type: Part-time
Pay: From $16.70 per hour
Expected hours: 15 per week
