JOB TITLE: Receptionist/Program Assistant
REPORTS TO: Program Manager/Director
HOURS: 40 hours per week
CLASSIFICATION: Non-Exempt

SUMMARY: The Receptionist will greet, assist, and provide direction and information to clients, visitors, and other guests of the Step Up Organization. In this role your functions include managing and referring in-coming calls, in-person reception services for clients and guests, monitoring main lobby, assisting clients, and other duties as assigned by the Program Managers and/or Directors from the High Desert Victorville Office.
DUTIES: The following reflects essential functions for this job but does not restrict other tasks, which may be assigned:
Direct Service and Support
- Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts them to the appropriate staff member and or location.
- Answers, screens, and directs phone calls and emails to staff; takes messages and schedules appointments. Including triage calls,
- Keeping the Reception area clean and secure.
- Sort and manage client mail/other correspondence as it comes in.
- Liaison with Occidental re: repairs needed at Lexington office.
- Liaison with the safety and fleet Department re: emergency drills, vehicle maintenance and tracking.
- Orders office supplies as needed. Including maintains of office equipment, office and client supplies (e.g. hygiene kits, welcome home kits, bus tokens, and logs).
- Demonstrates Step Up's mission, purpose, values and beliefs in everyday language and professionally in contact with internal and external representatives.
- Performs other duties as needed aligned with this role.
Documentation and Data Collection
- Prepares letters, memos, reports, etc. as requested.
- Attending team meetings as needed and maintaining agenda and minutes.
- Performs administrative and clerical support tasks.
- Performs basic filing and recordkeeping.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Performs other duties as needed aligned with this role.
SKILLS: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Basic understanding of administrative and clerical procedures and systems. Proficient with Microsoft Office Suite or related software. Strong de-escalation and crisis intervention skills.
QUALIFICATIONS: High school diploma or equivalent required. A valid California driver license and insurance are necessary.
SUPPLEMENTAL INFORMATION: Work with people experiencing homelessness whether on the streets, in shelters or other places of habitation or services, may present inherent challenges and difficulties such as: exposure to bed bugs or other infestations, unpleasant smells or odors, individuals who may have poor hygiene or unclean homes due to homelessness, mental health symptoms, or poverty. Additionally, in working with our members, employees may encounter instances of profanity, sexually explicit or derogatory language, or verbal or physical expressions of anger and trauma. Very rarely do these situations ever escalate to physical contact, and negative or derogatory communication patterns can often be negotiated successfully. All direct care staff are provided adequate training to develop skills to deescalate crisis situations that may arise and Step Up has established procedural safeguards for all employees to mitigate (but not eliminate) these inherent risks of employment.

PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; handle or feel; reach with hands and arms; talk; and hear. The employee is frequently required to walk, balance, stoop, kneel, and/or crouch. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus. Keyboard data entry required.
