Position Summary
As the Intake Specialist, you will serve as the welcoming and trusted guide for clients, family members, and referral partners seeking recovery coaching or supportive services. You will manage all incoming inquiries, coordinate appointments, and ensure a smooth, informed onboarding experience from first contact through enrollment.
Your role is essential in helping clients understand their options, feel supported during challenging moments, and transition confidently into the services that best meet their needs.
Client Engagement & Communication
Handle inbound and outbound phone calls, emails, and web inquiries from individuals, families, and referral partners seeking recovery or support services.
Build rapport quickly and provide a calm, grounding presence for individuals experiencing uncertainty or stress.
Clearly explain available services, program structures, coaching models, financial expectations, and next steps.
Guide prospective clients through the intake and decision-making process with empathy, urgency, and professionalism.
Service Matching & Enrollment
Convert inquiries into enrollments by helping clients understand service options and program expectations.
Match clients to the appropriate service (recovery coaching, sober monitoring, companioning, or professional support services) based on their needs and preferences.
Conduct screenings, gather demographic and background information, and identify potential barriers or required documentation.
Manage internal and external referrals and coordinate schedules with coaching and support teams to ensure smooth onboarding.
Coordination & Documentation
Enter intake information into the database. Maintain accurate, timely records in CRM and internal systems.
Collaborate with program leadership, scheduling teams, and recovery coaches to ensure continuity of care and communication.
Support administrative tasks that contribute to efficient program operations.
Meet monthly goals related to engagement, conversion, and client onboarding.
Qualifications
Education: Associate degree preferred; high school diploma with relevant experience considered.
CASAC / CASAC-T
Experience:
Minimum 1 year as an administrative assistant, coordinator, or intake worker.
Experience in recovery support, behavioral health, re-entry services, or substance use settings is preferred.
Experience working with justice impacted community and reentry services.
Experience supporting individuals impacted by trauma, substance use, mental health challenges, or the justice system.
Skills:
Strong communication and rapport-building abilities.
Competence with Microsoft Office Suite, CRM, and platforms such as Zoom or Microsoft Teams.
Ability to manage multiple leads and prioritize tasks effectively in a fast-paced environment.
Bilingual abilities
Job Type: Full-time
Pay: $ $32.97 per hour
