JOB DESCRIPTION

Position Title: Administrative Assistant

Reports to: Assistant Airport Director-Administration

Date: January 1, 2026

Purpose:

The Administrative Assistant position is responsible for general

day-to-day operations of the office and support for the executive

offices. Successful candidates will have excellent customer service

skills, organizational skills and must be outcome oriented. The

ability to work in a fast-paced environment with strong attention to

detail is essential.

Requirements:

  • Ability to juggle multiple projects with superb accuracy
  • Solid administrative skills
  • Exceptional customer service skills, over the phone and in person, with our customers, both external and internal
  • Strong sense of urgency and problem-solving skills
  • Ability to communicate effectively and clearly both orally and in writing
  • A dependable individual who is a self-starter
  • Ability to be licensed as a notary

Education :

  • A high school diploma or equivalent.

Experience:

  • 2 to 5 years as an Administrative Assistant, Bookkeeping, or related field preferred

Additional Qualifications:

  • Proficiency with computer and all Microsoft Office applications
  • Proficiency with Social Media applications

Job Responsibilities:

This position is responsible for the following assigned responsibilities. This is a general description of the duties and is not an exhaustive list of all assignments.

  • Welcomes guests and customers by greeting them either in person or on
  • the telephone.
  • Answers or directs inquiries.
  • Serves as primary phone coverage (first to answer all incoming calls).
  • Prepares and mails all US/UPS/FedEx mail and packages.
  • Sorts and distributes incoming mail.
  • Maintains appointment schedule by planning and scheduling meetings,
  • conferences, and teleconferences.
  • Maintains Outlook calendar(s) in current and accurate status.
  • Coordinates travel as necessary.
  • Prepares reports by collecting and inputting information.
  • Inputs accounts payable, codes and organizes receipts and other
  • bookkeeping/accounting functions as appropriate.
  • Oversees all aspects of publication orders, including inventory and
  • maintenance of inventory.
  • Files materials in general files area.
  • Produces information by transcribing, formatting, inputting, editing,
  • retrieving, copying, and transmitting text, data, and graphics.
  • Secures information by completing database backups.
  • Provides historical reference by developing and utilizing filing and retrieval
  • Systems.
  • Records meeting discussions.
  • Maintains office supplies inventory by checking stock to determine
  • inventory level; anticipates needed supplies; evaluates new office products; places and expedites orders for supplies; verifies receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance
  • requirements; follows manufacturer's instructions; troubleshoots malfunctions; calls for repairs; maintains equipment inventories; evaluates new equipment and techniques.
  • Performs general clerical duties including but not limited to: photocopying, faxing, mail distributing and filing.
  • Coordinates and maintains records for staff office space, phones,
  • company credit cards, etc.
  • Creates and modifies various documents using Microsoft Office.
  • Prepares meeting materials and assists with the development of
  • PowerPoint presentations.
  • Updates website(s)
  • Performs all other related duties as assigned.

Pay, Benefits and Additional Info :

  • Hourly position paying $16-18, DOE
  • 40 hours per week
