Position Overview
We are seeking a highly organized, confident, and results-driven Consultation Coordinator to support our growth efforts. This role is responsible for proactively connecting with dental practice owners and industry partners and scheduling complimentary business consultations with our senior consultants.
This is a high-activity, high-impact role designed for someone who is comfortable with consistent outreach, professional communication, and relationship-building—and who is interested in building a long-term career with growth opportunities.
Key Responsibilities
Outbound Outreach & Appointment Setting
- Make 100+ outbound calls per day to dental practice owners, and industry partner reps to introduce ePractice Manager and schedule complimentary consultations
- Conduct professional follow-up via email and text to maximize contact and response rates
- Clearly and confidently communicate the value of a no-cost consultation focused on the business side of dental practices
Industry Partner & Rep Engagement
- Proactively communicate with current partner representatives (as well as other companies as they come on board)
- Build relationships with reps and request introductions to dental practice owners who may benefit from business consulting
- Coordinate and schedule complimentary consultations generated through these introductions
Events & Conferences
- Attend dental conventions, meetings, and industry events (as assigned)
- Engage doctors in person, collect contact information, and schedule complimentary consultations
- Represent ePractice Manager professionally and confidently in live environments
Training & Webinar Follow-Up
- Attend internal and external online meetings, webinars, and Zoom trainings
- Follow up with attendees to schedule complimentary consultations
CRM & Reporting
- Accurately log all calls, emails, texts, and outcomes in our CRM system (LeadSmart)
- Maintain organized, detailed records to ensure accountability and visibility
- Track outreach activity and appointment metrics consistently

Qualifications & Skills
- Strong phone presence and professional written communication skills
- Comfortable with high-volume outbound calling
- Highly organized with strong follow-up habits
- Confident communicating with professionals (dentists, executives, industry reps)
- Experience with CRM systems (LeadSmart (Sales Force) experience a plus)
- Self-motivated, dependable, and able to work independently in a remote environment
- Willingness to travel occasionally for industry events
Compensation
- Base compensation 45K with earning potential of 60-85k of performance-based incentives

Performance Expectations
This role is results-driven. Success is measured by consistent activity and scheduled consultations.
Minimum Expectations
- At least 3 qualified consultation appointments scheduled per week
- 100+ outbound calls per day with proper logging in LeadSmart
- Timely follow-up via text and email for all contacted leads
- Accurate CRM documentation of all outreach and outcomes

Sample Daily Activity Schedule
8:00 – 8:30 AM
- Review daily call list and priorities in LeadSmart
- Confirm previously scheduled consultations
- Review follow-ups from prior day
8:30 – 11:30 AM
- Primary outbound calling block (50–60 calls)
- Log all calls, outcomes, and notes in CRM
- Send immediate follow-up texts/emails where appropriate
11:30 – 12:00 PM
- Follow-up outreach to warm leads
- Respond to emails/texts from doctors or Neodent reps
12:00 – 1:00 PM
- Lunch / break (flexible)
1:00 – 3:00 PM
- Second outbound calling block (40–50 calls)
- Outreach to Neodent reps and referral partners
- Schedule and confirm consultations
3:00 – 3:30 PM
- Follow-up from webinars, Zoom trainings, or events
- CRM updates and clean-up
3:30 – 4:30 PM
- Final follow-ups and confirmation messages
- Review daily metrics (calls made, conversations, consultations set)
- Prepare next day's call list

- Consistently meeting or exceeding 3+ consultations per week
- Strong organization and CRM accuracy
- Professional, confident communication with doctors and partners

Pay: From $45,000.00 per year
