To support this work, we are looking for an Office Manager to join our Operations team.
What You'll Do
As a part of the team, you will support the organization in a wide range of administrative functions to ensure smooth daily operations of the office. The ideal candidate will be resourceful, self-directed, action-oriented, discreet, and capable of managing multiple priorities with a high level of professionalism and confidentiality. Major responsibilities include:
Supporting the Special Assistant to the President & CEO, including assisting with travel logistics, organizing briefing materials and ensuring their availability, scheduling meetings, and engaging with external partners to support organizational priorities.
Staffing/supporting the President & CEO, as needed, for events in DC.
Overseeing special projects, including, but not limited to, (1) assisting with virtual and in-person events and board meetings and (2) ensuring smooth transition and operational continuity during office move.
Serving as the primary contact for building management and external service providers; oversee equipment recycling, maintenance, and servicing.
Greeting visitors, answering and directing calls, monitoring group inboxes.
Managing daily office functions including supply ordering, equipment upkeep, vendor coordination, mail handling, and maintaining a clean, organized and well-stocked workspace, kitchen, and common areas.
Opening, scanning, and distributing mail and checks; maintaining check logs; depositing checks per internal procedures; managing postage and shipping.
Maintaining record retention and disposal.
Coordinating shipment of employee equipment, ensuring timely delivery and accurate tracking.
Managing inventory of American Forests branded items, including ordering, organizing, and distributing for events, staff gifts, and other needs.
Collaborating with cross-functional teams to ensure event and equipment needs are met efficiently and professionally.
What We're Looking For

At least 5 years of experience supporting in-person and remote employees, preferably in a nonprofit or mission-driven organization.
Demonstrated ability to manage office operations and administrative functions, including vendor coordination, facilities oversight, and incoming mail management.
Strong organizational and multitasking skills with meticulous attention to detail.
Experiencing supporting a CEO/agency leadership.
Excellent verbal and written communication skills.
Discretion and ability to handle sensitive information with confidentiality.
Proficiency in Microsoft Office365, Google Workspace, and digital filing systems.
Experience using tools such as DocuSign, Zoom, and CRM or donor databases a plus.
Reporting & Supervision
The Office Manager reports to the Special Assistant to the President & CEO. This position will work closely with each of the departments across the organization. This position does not have direct reports at this time.
Working Conditions
This is a hybrid position with the expectation of working in the office at least 3 days per week. American Forests' headquarters is in downtown Washington, D.C. and within walking distance of several Metro stations (all lines), multiple bus lines, and Capital Bikeshare.
Typical working hours are 9:00am to 5:00pm Eastern Time, Monday-Friday, recognizing the need for nontraditional availability as a result of special meetings and events.
This position requires the ability to remain in a stationary position (sitting or standing) for extended periods and to operate a computer and other office equipment. Compensation & Benefits
This is a full-time, salaried exempt position. The budget salary range is between $60,000 and $80,000.
