EME Engineering Inc. is a multi-discipline MEP professional engineering firm; we are looking for a candidate to help fill a new position in our Vaughan location.
As our business continues to grow we have decided to add an administrative assistant to our team. The successful candidate must have perfect command and fluency of the English language as client interaction will be a key component of success. We are looking for an individual that is interested in growing with our company in a mutually beneficial arrangement.
Responsibilities and Duties
- Provide overall administrative and organizational support to the Engineering Partners
- Manage client inquiries, requests, and resolution issues
- Ensure correct mileage logs are maintained for the two (2) company vehicles
- Prepare, format, review and edit all company-branded correspondence as needed (i.e. letters, proposals, memos, social media, etc)
- Assist with project set-ups and Engineering Proposals
- Organize both internal and external meetings; maintain meeting room, assist with meeting arrangements, and set up conference calls as required
- Reception duties as needed (i.e. greet guests, answer phones and track staff whereabouts)
- Manage office supplies inventory and initiate/track orders
- Ensure professional appearance of office and assist with new employee orientation
- Organize office key / desk keys
- Program desk phones and voicemail boxes, when needed
Hybrid and remote working not available for this position due to collaboration and communication required in office.
Qualifications and Skills
- University degree / College Diploma required
- 3 years of work experience with at least one year in an administrative support role
- Prior work experience within an engineering/other professional firm would be an asset
- Able to plan and implement projects with a high level of independence
- Proven administrative skills within a fast-paced office environment
- Excellent organization skills
- Able to meet deadlines and manage multiple projects
- Strong written/verbal communication skills
- Solid proofing/editing abilities and attention to detail
- Meticulous with detail
- Team-oriented individual who can create solid working relationships
- Must have expertise in creating Excel documents using formulas, pivot tables and macros
- Proficiency working in MS Office (Word, Excel, PowerPoint, Outlook)
- Proficiency typing (60 words per minute)
