Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, proficiency in Microsoft Office and Google Workspace, and experience with data entry and customer service. This role involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional support to team members and clients. Responsibilities
- Greet visitors and manage front desk duties with professionalism and courtesy
- Answer multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
- Maintain organized filing systems, both electronic and paper-based
- Assist with scheduling appointments, meetings, and calendar management
- Support bookkeeping activities using QuickBooks or similar software
- Prepare correspondence, reports, and proofreading documents for accuracy
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette
- Manage incoming and outgoing mail and coordinate deliveries as needed
- Support administrative projects and perform general clerical tasks such as photocopying and scanning
Qualifications
- Proven experience in an administrative or clerical role, preferably in a medical or dental office setting
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or bookkeeping software is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills with professional phone etiquette
- Ability to handle multiple tasks simultaneously while maintaining attention to detail
- Familiarity with multi-line phone systems, filing procedures, and data entry processes
- Previous customer service experience is desirable
- Knowledge of medical or dental office procedures is advantageous but not required
- Strong computer skills with the ability to adapt to new software applications
Job Types: Full-time, Part-time
Pay: $17.20-$21.00 per hour
Expected hours: 15 – 35 per week
