Executive Assistant / Office Manager
Position Summary
We are seeking a highly organized, proactive Executive Assistant / Office Manager to support the CEO and HR recruiting team. This role requires exceptional communication skills, strong judgment, and the ability to manage multiple priorities independently while handling sensitive and confidential information with professionalism.
Key Responsibilities
- Provide high-level administrative support to the CEO, including calendar management, correspondence, expense reports, and complex travel arrangements
- Prepare materials for meetings, take notes as requested, and set up Zoom/technology for meetings
- Serve as a point of contact for the CEO by answering calls, managing messages, and responding to routine and non-routine inquiries
- Perform general administrative duties including document preparation, filing, data management, and proofreading
- Support HR and recruiting functions, including scheduling, contracting, maintaining personnel records, and coordinating crew logistics
- Assist with training schedules, crew lists, personnel files, and related documentation
- Maintain strict confidentiality and professionalism at all times
- Office Manager duties such as onboarding office staff, approving invoices, point of contact for office vendors/service providers, and managing petty cash.
Qualifications
- Minimum 1 year of administrative experience supporting senior leadership
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent communication skills, both written and verbal, and a professional demeanor.
- Strong time management and organizational abilities with attention to detail
- Proficiency in Microsoft Office, Excel, and office productivity tools; ability to learn new systems quickly
- Ability to work independently, use sound judgment, and adapt to competing priorities
- Strong interpersonal skills and a collaborative, flexible team-oriented mindset
- HR experience (preferred, but not required)
Work Environment
- Primarily office-based, working at a computer and attending meetings
- Valid driver's license and personal vehicle required
Compensation
- Starting salary $65,000. Salary range will be determined based on experience and qualifications.
