Job Title: Program Coordinator - Special Programs

Department: WDE Student Services

Reports To: Business Services Manager/Special Programs Manager

FLSA Status: Salary Exempt

General Statement of Duties

The Program Coordinator (PC) prepares internal reports which assist the Manager in analyzing effective and efficient operations, The PC is responsible for providing detailed analysis and data reconciliation related to outcomes within the Special Programs and with support departments and partners.

Major Duties and Responsibilities

  • Input data on enrollments, retention, certifications, and placement of students in the student database
  • Review monthly audit findings with Manager
  • Manage student time/attendance
  • Ensure that all applicants meet the program prerequisites for drug screening, background checks, physical exams and driving record as required by the various programs
  • The (PC) is a member of the orientation team and participates in orientations
  • The (PC) is a member of the graduation committee and plans and participates in graduations
  • Enter data and generate reports from student database
  • Respond to requests for student records
  • Work with workforce ecosystem funding agencies and career center representatives to ensure all data is submitted timely and accurately
  • Order program supplies
  • Prepare spreadsheets and program reports
  • Internally and externally promote the Special Programs
  • Demonstrate a high standard of professional excellence
  • Performs other duties as assigned

Supervision Received

Perform duties under the supervision of Business Services Manager/Special Programs Manager

Requirements
Skills and Abilities

  • High level of analytical and organizational abilities
  • Ability to summarize and model data for measuring performance and trend analysis
  • Detail oriented
  • Highly proficient in MS Excel, MS WORD, MS PowerPoint
  • Strong commitment to civil and human rights
  • Strong commitment to guiding students to adhere to standards and to success
  • Adapts rapidly to changing conditions

Education, Training And Experience
Associate's degree in Finance/Business Management, Computer Science, or equivalent experience
