Duties

  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Perform data entry and maintain organized filing systems both digitally and physically
  • Use Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents, spreadsheets, and correspondence
  • Schedule appointments, manage calendars, and coordinate meetings efficiently
  • Assist with PAYCHEX FLEX
  • Support office management activities such as inventory tracking, and maintaining office equipment
  • Proofread documents for accuracy and clarity before distribution
  • Provide excellent customer service by addressing inquiries via phone or email with professionalism and patience
  • Handle clerical tasks including photocopying, faxing, scanning, and mailing

Experience

  • Previous office experience or administrative support roles preferred; experience as a receptionist or personal assistant is highly valued
  • MUST HAVE EXPERIENCE WITH PAYCHEX FLEX (Required)
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are desirable to assist diverse clientele and team members
  • Demonstrated phone etiquette skills and experience managing multi-line phone systems
  • Proven ability to handle confidential information discreetly and professionally
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Knowledge of office management procedures combined with excellent time management skills
