About the Position
As a Patient Coordinator, you are the face of The Things We Do—welcoming clients into our thoughtfully curated space and guiding them through their experience with warmth, knowledge, and care. This role is a blend of front-desk operations, personalized customer care, and confident sales. You will be a trusted resource for new and existing clients, often fielding inquiries about current promotions and converting those into booked services. Patient Coordinators help maintain the high standard of customer experience that defines The Things We Do, ensuring every interaction reflects the brand's values of intention, trust, and results-driven care.
Key Responsibilities
- Warmly greet and check in patients, ensuring a seamless, uplifting experience from arrival to departure
- Respond promptly and professionally to incoming phone calls, emails, and text messages
- Provide detailed information about services, products, and current promotions to prospective and returning clients
- Sell incoming leads from advertisements into booked appointments through personalized sales and service recommendations
- Upsell clients into our skincare and tools
- Schedule and manage appointments across all TTWD locations
- Educate patients about our skincare philosophy, treatment options, and product offerings
- Process transactions and protect sensitive patient and financial information
- Maintain the organization and visual presentation of our front retail space
- Manage and receive inventory, restocking as needed
- Foster long-term relationships with clients by building trust and providing expert guidance
- Communicate clearly with providers, medical assistants, and the rest of the team to ensure continuity of care

Qualifications
- Strong interpersonal skills with a customer-first mindset
- Confident communicator with sales acumen and emotional intelligence
- Experience in a high-touch customer service, receptionist, or retail sales role
- Technically proficient with Google Workspace, Excel, Slack, and scheduling systems
- Ability to multitask in a fast-paced, detail-oriented environment
- Enthusiastic, kind, and collaborative team player with a solution-based attitude
- Experience in beauty, wellness, or medical aesthetics industry is a plus
