Summary

The Front Desk Coordinator is the first point of contact for clients, guests, and vendors, ensuring a welcoming and professional environment. This role manages communications, scheduling, office logistics, compliance, and marketing support, with a focus on service excellence for high-end clientele in a financial advisory setting.

Key Responsibilities

· Welcome clients, guests, and visitors with professionalism and warmth.

· Answer and route phone calls; assist clients, callers, vendors, and prospects.

· Scheduling & Calendar Management ensuring all details are accurately recorded for multiple advisors using GReminders scheduling software.

· Coordinate special scheduling requests and recurring meetings.

· Send client confirmation emails and manage pre-meeting workflows.

· Receive and distribute mail.

· Order office supplies and stamps as needed.

· Manage monthly services (shredding, water delivery, copier maintenance).

· Client Engagement & Marketing Support

Qualifications

Must demonstrate a courteous, approachable, and highly professional demeanor; possess excellent communication skills; present a consistently professional appearance; and exhibit a genuine capacity to engage effectively with individuals of all ages and backgrounds in face-to-face interactions.

Experience & Education

2–5+ years of reception/front-desk experience, ideally in professional services (financial advisory, law firm, accounting, private banking, luxury hospitality, or corporate executive office). High school diploma required; bachelor's degree preferred (not always mandatory).

Skills

· Exceptional professionalism and polish – impeccable grooming, articulate speech, calm under pressure.

· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

· Experience with CRM software (e.g., Salesforce, Redtail, Wealthbox, Microsoft Dynamics) is a huge plus.

· Familiarity with phone systems (RingCentral, Cisco, Microsoft Teams Telephony, etc.).

· Understanding basic financial terminology (helpful but not mandatory).
