Job Overview
We are seeking a highly organized and professional Receptionist/Supervisor to manage front desk operations and oversee administrative functions within our office environment. This role requires a proactive individual with excellent communication skills, strong office management capabilities, and the ability to support both customer service and supervisory duties. The ideal candidate will be bilingual, tech-savvy, and experienced in handling multi-line phone systems, and clerical tasks. This position offers an opportunity to contribute to a well-organized office while providing exceptional support to members and staff.

Responsibilities

  • Greet visitors and members in a courteous and professional manner at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Handle data entry, filing, and document proofreading with accuracy and attention to detail
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff
  • Utilize Window 11 for basic bookkeeping tasks and financial record keeping
  • Support office management activities including supply inventory, organization of files, and administrative support
  • Provide excellent customer service by addressing inquiries promptly via phone or in person
  • Supervise front desk staff and assist in training new team members as needed
  • Ensure office operations run smoothly by managing clerical tasks such as typing reports, supporting customer support efforts, and maintaining office equipment

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Office management experience including calendar management, filing systems, and administrative support functions
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Strong typing skills with high accuracy; experience in proofreading documents is a plus
  • Exceptional customer service skills with a friendly demeanor and professional appearance
  • Ability to handle clerical tasks such as data entry, filing, and document organization efficiently
  • Time management skills to prioritize tasks effectively and meet deadlines
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required

This role is integral to maintaining an organized office environment while delivering outstanding support to clients and team members. The successful candidate will demonstrate professionalism, efficiency, and excellent communication skills.

Job Type: Part-time

Pay: $ $16.00 per hour

Expected hours: No less than 15 per week
