Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Perform data entry, filing, and document proofreading to maintain accurate records and support office organization.
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, and financial documents.
- Support calendar management and scheduling for executives or team members, coordinating meetings and appointments efficiently.
- Handle customer support inquiries via phone or email, providing friendly assistance and resolving issues promptly.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar tools.
- Maintain a clean and organized office environment while managing clerical tasks like photocopying, faxing, and inventory management.
Qualifications
- Proven experience in an administrative or office support role with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy.
- Experience with multi-line phone systems and excellent phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively.
- Familiarity with QuickBooks for bookkeeping and data entry is preferred.
- Previous experience as a dental or medical receptionist or personal assistant is a plus but not required.
- Excellent proofreading skills and attention to detail to ensure accuracy in all communications.
