Direct experience in mental health or behavioral health
Hands-on experience in PHP and/or IOP programs
Experience working with adolescents and families
Prior operations or administrative leadership in a clinical setting
Bilingual fluency (English + Spanish or Portuguese)
Eligibility for DCF & AHCA Level-2 Background Check
Candidates without behavioral health, PHP/IOP, and adolescent experience will not be considered.
ROLE OVERVIEW
The Operations Manager is the day-to-day operational lead of our adolescent PHP/IOP program. This role partners closely with the Clinic Director to ensure the clinic runs smoothly, safely, and in full compliance—so clinicians can focus on care and families feel supported.
KEY RESPONSIBILITIES (HIGH LEVEL)Clinical & Program Operations
Manage daily schedules in KIPU (groups, intakes, IPEs, NP sessions)
Coordinate with clinicians, group facilitators, nutrition, and psychiatry
Support admissions flow and parent communication (groups, reminders)
Provide Wellness Coordinator coverage as needed
Serve as the primary front-desk presence for families and visitors
Oversee supplies, inventory, facilities, IT coordination, and vendors
Prepare intake materials and support program events/logistics
Assist with insurance verification and basic operational reporting
Maintain client records, attendance, census, assessments, and outcomes
Support incident reporting, EOC checklists, fire drills, and emergency logs
Assist with crisis documentation and regulatory compliance needs
Track PTO and review hours for hourly staff
Support recruiting coordination, onboarding, and training compliance
Assist with team communication, recognition, and engagement efforts
2+ years operations or administrative experience in behavioral health
Strong organizational skills in a fast-paced clinical environment
Comfort engaging with adolescents, families, and clinical teams
Proficiency with EHRs (KIPU preferred), scheduling tools, and spreadsheets
Calm, professional presence in high-acuity situations
