Overview
We are seeking a reliable and organized Office Coordinator to support daily office operations. This role is vital in maintaining efficient workflow, providing excellent customer service, and ensuring smooth administrative processes. The ideal candidate will possess strong computer skills, office management experience, and excellent communication abilities. Bilingual proficiency is a plus to assist diverse clients and team members. Duties

  • Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite, ABEC Elevator CRM platform for administrative tasks such as scheduling, invoicing, and record keeping
  • Assist with calendar management and appointment setting for staff or clients
  • Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette and customer service skills
  • Support office management tasks such as inventory tracking, supply ordering, and general clerical duties
  • Support bookkeeping activities as needed, including basic bookkeeping tasks
  • Answering and directing incoming phone calls in a professional manner
  • Entering work orders and service requests accurately
  • Creating and maintaining maintenance contracts
  • Assisting team members with administrative and clerical tasks as needed
  • Organizing files, documents, and office records
  • Supporting daily office operations and special projects

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook), and data entry software
  • Experience with Outlook, Google, Windows Operating Systems is required
  • Excellent communication skills with professional phone etiquette; bilingual abilities are a plus
  • Strong computer literacy with the ability to adapt to various office management tools
  • Prior clerical or administrative experience in a professional setting is desirable
  • Ability to multitask efficiently while managing time effectively
  • Experience in customer facing service roles
  • Knowledge of filing systems, proofreading documents, and general office procedures

Job Type: Full-time

Pay: $ $22.00 per hour

  • This position requires all to pass a background test, drug test and MVR. ABEC Elevator does not employ or contract with anyone who would not be able to pass the above items. Will you be able to pass all with the requirement of a free and clear return of results?
  • This position is in our office. This position does not allow for remote work. Will you be able to be present for such work?
  • Do you have reliable self transportation to arrive and depart on time for work daily?
  • This position requires a sit down at desk start time of 8:00am with a punch out time of no earlier than 4:30pm allowing the phones to roll to afterhours.
  • This is a fast paced position. Are you willing to learn? Are you able to multi-task?
  • What is your next availability for a video meeting via Teams? Please note our office does not conduct interviews or review applications on Thursdays.
