Job Summary
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to executives and management teams. The ideal candidate will excel in managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and discretion. This role requires strong communication skills, technical proficiency, and the ability to multitask efficiently in a fast-paced office environment.

Duties

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events.
  • Coordinate complex travel arrangements and event planning logistics to ensure seamless execution.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with attention to detail.
  • Handle phone calls with professional phone etiquette, screen inquiries, and direct calls appropriately using multi-line phone systems.
  • Perform data entry and bookkeeping tasks utilizing QuickBooks and other office management software.
  • Assist with project coordination by tracking deadlines, preparing presentations, and supporting various administrative projects.
  • Manage office supplies inventory, filing systems, and front desk operations to ensure efficient office functioning.
  • Provide executive administrative support including email management, document signing via DocuSign, and organizing files for easy access.
  • Support personal errands or tasks as needed to facilitate the smooth operation of daily activities.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, and data entry tools.
  • Experience with QuickBooks, bookkeeping, transcription, proofreading, and project coordination is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
  • Strong communication skills including phone etiquette and customer service experience.
  • Demonstrated ability to handle confidential information discreetly.
  • Familiarity with multi-line phone systems, office filing systems, and front desk procedures.
  • High school diploma or equivalent required; additional administrative certifications are a plus. Pay: $75,000.00 per year
