Job Summary
We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations within our office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role is vital in ensuring smooth workflow, maintaining accurate records, and providing exceptional customer service to clients and staff alike.
Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office, Google Workspace, and other office software for various administrative tasks
- Schedule appointments, manage calendars, and coordinate meetings efficiently
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support customer service efforts by responding to inquiries via phone or email and providing support as needed
- Maintain office supplies inventory and order necessary materials to ensure operational continuity
- Handle clerical duties such as photocopying, faxing, and mail distribution
- Provide personal assistant support including calendar management and task prioritization as required
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software is preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent phone etiquette and customer service skills, including experience with multi-line phone systems
- Bilingual abilities are a plus for communicating with diverse clients and staff
- Office management or administrative experience is highly desirable
- Typing speed of at least 60 words per minute with high accuracy
- Attention to detail in proofreading and data entry tasks
- Knowledge of medical or dental receptionist duties, including calendar management for appointments, is advantageous
- Ability to handle clerical responsibilities such as filing, data entry, and record keeping efficiently
- Strong time management skills to prioritize tasks effectively and meet deadlines
