Summary
As our Project Administrator, you'll play a key role in driving project success by keeping timelines on track, coordinating essential administrative tasks, and ensuring accurate order and delivery details.
You'll collaborate closely with our Project Manager, internal teams, and external vendors to keep everything running smoothly while delivering top-notch service to our customers.
Responsibilities
- Collaborate closely with the Project Manager to ensure project milestones and deadlines are consistently met.
- Issue Customer Order Confirmations for Municipal projects as needed.
- Generate Project Purchase Orders, ensuring the consolidation and accuracy of order details.
- Process Purchase Order revisions related to pricing, product changes, delivery schedules, or customer requirements.
- Resolve receiving holds by coordinating with warehouses, vendors, and internal teams.
- Coordinate Free Issue products to align with vendor requirements and customer deadlines.
- Create items in Rootstock using Summit Part Number Tools.
- Generate and review Pick Lists to support timely inspection and shipment of products.
- Work with the Expediting Team to request and track vendor updates to support on-time delivery.
- Manage and resolve cases related to credit, exchange, or warranty issues, collaborating with internal teams as needed.
- Maintain project backlog accuracy, ensuring data reflects the current status of all projects timelines.
- Review and process vendor shipment notifications to ensure alignment with delivery expectations.
- Collaborate with the Purchasing Team on an as-needed basis to support purchasing and procurement activities.
- Qualifications
- Associate degree in Business Administration, Supply Chain Management, Logistics, or a related field preferred.
- Equivalent relevant work experience may be considered in lieu of a formal degree.
- 1–3 years of experience in order management, customer service, logistics, or a related administrative role.
- Experience with CRM and ERP systems is a plus.
- Familiarity with expediting, vendor coordination, or inventory management is beneficial.
- Experience in manufacturing or distribution environments is desirable.
