Job Overview
We are seeking an energetic and detail-oriented HVAC Customer Service Representative / Dispatcher to join our dynamic team. In this vital role, you will serve as the primary point of contact for customers seeking HVAC services, coordinate scheduling and dispatching of technicians, and ensure seamless communication between clients, field staff, and internal departments. Your proactive approach and excellent communication skills will drive customer satisfaction and operational efficiency. This position offers an exciting opportunity to be at the heart of our service delivery, ensuring timely response and effective management of HVAC service requests.

Responsibilities

  • Respond promptly to customer inquiries via multi-line phone systems, providing professional and courteous assistance.
  • Schedule and dispatch HVAC technicians efficiently using transportation management systems, GPS tools, and dispatching software.
  • Coordinate with field technicians to confirm appointment details, troubleshoot scheduling conflicts, and optimize daily routes.
  • Maintain accurate data entry in systems such as Oracle Transportation Management, SyteLine, and AS400 for service orders, work tickets, and customer records.
  • Monitor fleet management systems to track technician locations using GIS and GPS technology, ensuring timely arrivals.
  • Collaborate with logistics teams on shipping & receiving schedules, supply chain coordination, and inventory management for parts and equipment.
  • Analyze operational data to identify opportunities for process improvements in transportation planning, dispatching workflows, or freight management.
  • Demonstrate excellent phone etiquette and communication skills when interacting with customers, vendors, and team members to foster positive relationships.

Requirements

  • Proven experience with transportation management systems (TMS), GIS, GPS technology, or logistics coordination preferred.
  • Strong analysis skills with the ability to interpret data related to dispatching, freight movement, or supply chain operations.
  • Familiarity with transportation planning concepts, fleet management practices, and shipping & receiving procedures.
  • Proficiency in data entry using systems such as Oracle Transportation Management or SyteLine; experience with AS400 is a plus.
  • Excellent communication skills—both verbal and written—and professional phone etiquette.
  • Ability to multitask effectively using multi-line phone systems while maintaining high attention to detail.
  • Knowledge of 3PL (third-party logistics) operations or transportation management is advantageous.
  • Basic typing skills with a focus on accuracy; familiarity with transportation analysis tools enhances performance.
