Job Title: Events Consultant

Location: Warwick, RI

Duration: Temporary 3-month contract

Reports To: Assistant Vice President, Marketing

Position Summary

The Events Consultant will provide comprehensive support for a major event scheduled at the end of March. This role involves coordinating logistics, managing planning activities, and ensuring successful execution of all event-related tasks. The Consultant will work closely with multiple departments and external consultants to deliver seamless experience. The schedule will begin at 30 hours per week, with the expectation that candidates are available to work up to 40 hours as needed.

Key Responsibilities

  • Oversee and coordinate event logistics from planning through execution.
  • Manage vendor relationships and scheduling for catering, AV, staging, backdrop, event lighting, etc.
  • Coordinate creative assets internally and externally.
  • Track and manage infrastructure schedules and timelines.
  • Facilitate weekly check-ins and progress updates.
  • Ensure accurate tracking and follow-up for booklets, videos, and other deliverables.
  • Collaborate across departments to ensure alignment on event needs.
  • Provide day-of-event support and troubleshooting.
  • Other duties as assigned to support the Business Development Department.

Qualifications

  • Proven experience in event planning and project coordination.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal skills.
  • Experience working with vendors and cross-functional teams.

Requirements

  • Bachelor's degree in Marketing, Communications, or related field, preferred
  • Minimum of 2 years' experience providing event consultation services, preferred
  • Proficiency in project management tools (e.g., MS Project, Trello, Asana).
  • Ability to work under pressure and meet tight deadlines.
  • Flexibility to adapt to changing priorities and requirements.
  • Strong problem-solving and decision-making skills.
