Overview
The Operations & Office Manager supports the Executive Director and ensures the efficient day-to-day functioning of the Chamber of Commerce office. This role requires a highly self-directed individual who can independently identify needs, prioritize tasks, and maintain a professional, welcoming environment without requiring close supervision. The Operations & Office Manager reports directly to the Executive Director and follows their direction in all operational, administrative, and member-service tasks.
This is a part-time position (typically Monday/Wednesday/Friday, 9–4), with increased hours - 40 or more - expected during the annual Apple Butter Festival.
Key ResponsibilitiesOffice Operations & Administrative Support
- Serves as the day-to-day office manager under the direction and oversight of the Executive Director.
- Provides consistent, reliable support to the Executive Director on all administrative, operational, and membership-related tasks.
- Maintains QuickBooks Online, processes bills, and prepares checks for signature.
- Maintains organized and accurate digital and physical records.
- Keeps the office clean, organized, and visitor-ready at all times.
- Acts as the welcoming face of the Chamber for visitors, members, and callers.
Communications & Membership Support
- Assists in maintaining the Chamber website, membership roster, and membership directory.
- Supports membership outreach and membership-drive initiatives.
- Coordinates, prepares, and assists in sending twice-weekly email blasts in collaboration with the Executive Director and Chamber members.
- Maintains digital records of online payments, form submissions, and membership updates.
Events & Community Support
- Supports all Chamber events, including the annual Apple Butter Festival (increased hours required).
- Assists in distributing promotional and marketing materials.
- Schedules and attends Chamber meetings and prepares accurate and timely meeting minutes.
- Works professionally with volunteers, community partners, and local businesses.
Other Duties
- Performs additional tasks as assigned by the Executive Director.
- Adheres to all confidentiality and conflict-of-interest standards required of the Berkeley Springs–Morgan County Chamber Board of Directors.
Qualifications & Competencies
The successful candidate will:
- Be well-organized, self-directed, and capable of working independently with minimal supervision.
- Demonstrate consistent quality, accuracy, and timeliness in all work performed.
- Possess strong written and verbal communication skills.
- Be proficient with Microsoft Office (Word, Excel), QuickBooks Online, and general office technologies.
- Be capable of maintaining up-to-date, accurate website information.
- Understand the needs and issues facing the local business community, public agencies, and community organizations.
- Maintain a current, valid driver's license.
- Meet education/experience requirements equivalent to an Associate's degree in Business Administration, Marketing, Organizational Leadership, or a related field (relevant experience may substitute).
Preferred Skills (Training available)
- Experience with Zoom/Teams or other video conferencing tools.
- Basic knowledge of web design (Wix preferred) and graphic/media creation tools (Canva, Photoshop, etc.).
- Budgeting and financial record-keeping experience.
- Experience supporting or organizing community events.
- Fundraising and/or grant writing familiarity.
Schedule
- Part-time: Typically Monday, Wednesday, Friday, 9 a.m.–4 p.m.
- Additional hours during festivals, events, and peak periods
- Occasional weekends as needed
Pay: $20.00 per hour
Expected hours: No less than 21.0 per week
