Job overview and responsibilities

  • Assists managers and supervisors by performing advanced administrative activities and functions for daily operational employee requirements and business processes Acts as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing and coordination with Employee Service Center
  • Processes include manpower alignment i.e. shift bids, vacation bidding, overtime call-in and tracking, profile updates, badging and records maintenance
  • Financial processes will include the processing and reconciliation of invoices, P-cards, expense reports and payroll
  • Additional duties include support of employment/recall processes, correspondence, employee training reporting, local events coordination, uniform program administration and the ordering office supplies and equipment
  • Position will include development of competency in data management systems, i.e. ETA, TimeTracker, scheduling systems, Learning Network and Ariba
  • Communicates effectively and professionally with internal and external customers
  • Represents the respective leadership team and the organization in a highly professional manner
  • Demonstrates the ability to handle multiple tasks with minimal supervision
  • Takes initiative on requests and inquiries of administrative nature
  • Recommends action to improve administrative processes to help streamline work and efficiency
  • Acts as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing, and coordination with Employee Service Center
  • Provides work direction, guidance and training for the Business Coordinator(s) – GSE and Facility Maintenance (as necessary)
  • Develops and maintains statistical data and prepares information and reports pertaining to financial, operations, performance and OSHA data
  • May provide forecasts of future manpower requirements and may assist in coordinating the adjustment/utilization of staffing resources to meet workload requirements to assure efficient cost and performance control
  • Will require competency in utilizing data management systems, i.e. ETA, Time tracker, scheduling systems, Learning Network, Managers' Toolbox and Ariba
  • Performs personnel related duties including employment and recall administration, correspondence, badging, parking permits, profile updates, scheduling/rostering, shift /vacation bidding tracking and records maintenance
