Job Summary
The Catering Coordinator is a dual-role position responsible for the administrative and operational management of on- and off-premise catering events. The time is split evenly between the office and event venues. This role requires exceptional attention to detail, clear communication, and strong prioritization skills to ensure the smooth operation of all catering orders, from booking to fulfillment, including providing on-the-ground support during events.

Essential Duties And Responsibilities

  • Booking & Data Management: Enter and maintain all event reservation data (inquiries, tentative, and definite bookings). Capture essential event details (client contact, date, time, location, etc.) and detail function sheets with equipment/rental orders.
  • Event Documentation & Execution: Create comprehensive Captain's Packets (including staff assignments, pull sheets, and expo sheets) and ensure timely distribution. Design and produce necessary buffet signage and printed menus.
  • File & Financial Administration: Assemble and maintain organized event files (including correspondence, orders, proposals, and invoices). Receive and accurately process client deposits.
  • Inquiry & Proposal Management: Receive and log new inquiries. Prepare detailed event proposals and submit necessary staff requisitions.
  • Sales & Marketing Support: Support sales goals through research, client communications, sourcing activities, and collaboration with the Marketing Department on materials and promotions.
  • Client Relations & Site Support: Conduct client venue walkthroughs and provide scheduled on-site sales representation and operational support during events.
  • Financial Reporting & Compliance: Process requests for Certificates of Insurance (COI). Review reservation entries for accurate forecasting. Prepare final event invoicing and required monthly expense reports, liaising with the accounting department as needed.
  • General Administrative Support: Assist with scheduling meetings, appointments, and travel arrangements; perform other related duties as assigned.

Qualifications

  • Experience: Minimum of 1–2 years in a catering, hospitality, or event coordination role. Prior experience covering both administrative (order entry, client communication) and operational (set-up, service) duties is preferred.
  • Industry Context: Experience within high-volume food service operations (e.g., corporate dining, hotels, education, or restaurants).
  • Availability: Open availability (including nights and weekends) is required due to the sporadic nature of catering events, which often occur outside regular business hours. Associates receive two days off each week.
  • Physical Requirements: Ability to lift and carry supplies, set up events, stand for extended periods, and work effectively in both indoor and outdoor settings.
  • Communication & Service: Excellent verbal and written communication skills for effective client/vendor interaction. Must possess exceptional customer service skills to handle inquiries, resolve issues promptly, and maintain a professional, positive demeanor in high-pressure situations.
