A purchasing and receiving supervisor oversee all aspects of a company's procurement process, from sourcing and acquiring goods to managing their receipt and storage. This dual role is critical for maintaining an efficient supply chain, controlling costs, and ensuring a continuous flow of materials and products for a business. They typically lead a team of purchasing agents and receiving clerks.
Duties and Responsibilities
Purchasing Responsibilities
- Supplier Management & Sourcing: Retaining or selecting new suppliers and vendors. Build and maintain strong.
- Negotiation & Contracts: Negotiate contracts and terms with suppliers to secure the best possible prices, quality, and delivery schedules.
- Procurement Strategy: Develop and implement purchasing policies and procedures that align with the company's financial goals and operational needs.
- Market Analysis & Forecasting: Stay up-to-date on market trends and price fluctuations to make informed purchasing decisions and forecast future demand to prevent shortages or excess inventory.
- Purchase Orders: Oversee the creation and management of purchase orders, ensuring they are accurate and processed in a timely manner.
- Standard Operating Procedures: Develop and maintain SOP of the department.
Receiving Responsibilities
- Oversight of Incoming Shipments: Supervise the receiving department to ensure all incoming shipments are processed accurately and efficiently.
- Inspection & Quality Control: Coordinate the inspection of received goods to verify that they match the purchase order and meet quality standards. Responsible for addressing any discrepancies or damaged items with suppliers.
- Inventory Management: Work closely with the inventory and warehouse teams to ensure that all received goods are accurately documented and stored. Use inventory management systems to track stock levels.
- Workflow Optimization: Develop and implement best practices for receiving operations to improve efficiency, reduce processing time, and ensure a safe work environment.
- Record Keeping: Maintain detailed records of all incoming shipments, including costs, delivery times, and product performance.
- Standard Operating Procedures: Develop and maintain SOP of the department.
Qualifications
- Education & Experience: A bachelor's degree in business administration, supply chain management, or a related field. Relevant work experience in a purchasing, procurement, or logistics role.
- Analytical Skills: Ability to analyze financial data, market trends, and supplier performance to make data-driven decisions.
- Negotiation & Communication: Strong negotiation skills for securing favorable contracts. Excellent written and verbal communication skills for collaborating with suppliers and internal teams.
- Leadership: The ability to lead, mentor, and motivate a team of employees to achieve departmental goals.
- Attention to Detail: This role requires a high level of accuracy and meticulous attention to detail to ensure contracts, purchase orders, and inventory records are correct.
Work Environment
This is a working manufacturing and production facility. As such this is a hot, dusty, loud area, and there are always moving parts. Caution and attention to your surroundings need to always be at the front of your mind as safety always starts with you.
