Job Summary
We are seeking a highly organized and detail-oriented Temporary Administrative Assistant to support our office operations. This role involves providing exceptional clerical and administrative support, managing front desk responsibilities, and assisting with various office management tasks. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office environments. Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Handle multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Manage calendar appointments and coordinate meetings using Microsoft Office and Google Workspace tools
- Assist with bookkeeping tasks using QuickBooks and maintain financial records as needed
- Support office management tasks including supply inventory, mail handling, and general administrative duties
- Provide excellent customer service to clients, vendors, and internal staff
- Maintain organized records and ensure confidentiality of sensitive information
- Support personal assistant duties such as scheduling and correspondence management
Qualifications
- Proven office management or administrative experience, including clerical support roles
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry, proofreading, and document formatting
- Familiarity with QuickBooks, calendar management, and bookkeeping is a plus
- Excellent phone etiquette with experience handling multi-line phone systems
- Bilingual skills are preferred but not required
- Exceptional organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and attention to detail for accurate data entry and documentation
- Previous experience as a receptionist or in medical/dental office settings is advantageous
- Ability to work efficiently in a fast-paced environment while maintaining professionalism
