Looking for a role where structure, trust, and a little fun coexist? We're hiring an Office Manager who values systems, adapts easily, and brings a positive, professional presence to the team.

Team Zebrowski is seeking a highly organized, proactive Office Manager to oversee daily office operations, support agents and leadership, and help deliver an exceptional client experience.

This role is central to the success of the business. The Office Manager protects leadership time, supports multiple personalities on the team, follows detailed checklists, and takes ownership of outcomes — always acting with integrity and professionalism.



About the Role

The Office Manager serves as the operational hub of Team Zebrowski. You are responsible for ensuring the office runs smoothly, systems are followed, agents are supported, and clients feel cared for at every stage of the process.

You will work closely with the Leader, supporting both internal operations and client-facing activities. This role requires strong follow-through, adaptability, and a calm, positive demeanor.



Key Responsibilities

· Manage daily office operations and ensure the office is fully functional

· Guard leadership time by screening calls and emails and prioritizing communication

· Support Team Zebrowski agents as internal clients — anticipating needs and solving problems

· Maintain detailed records and notes in the CRM, including client and relationship details

· Follow and execute daily, weekly, and monthly checklists consistently

· Oversee listing coordination from initial contact through accepted offer

· Prepare and manage listing documentation, disclosures, and marketing materials

· Enter and maintain accurate listing data in MLS systems

· Coordinate open houses, tours, signage, photography, and listing logistics

· Maintain inventory of signs, marketing materials, office supplies, and client gifts

· Conduct regular client outreach, including seller updates, notes, birthday and anniversary cards

· Track referrals, document activity, and prepare weekly reports

· Monitor social media briefly for client life events and relationship-building opportunities

· Research and recommend systems or process improvements quarterly

Qualifications

· Prior experience in office management, real estate operations, or administrative leadership preferred

· Strong organizational skills and attention to detail

· Ability to manage multiple priorities in a fast-paced environment

· Professional written and verbal communication skills

· Comfortable working independently and making sound judgment calls

· Tech-capable with CRM systems, MLS platforms, and standard office tools

· Reliable, punctual, and consistent



Compensation & Benefits

· Compensation: Competitive and commensurate with experience and training requirements

· Pay Frequency: Biweekly

· Bonus or Performance Incentives: Eligibility for a performance-based bonus following a successful 3-month probationary period, based on individual role expectations and overall team performance

· Paid Time Off (PTO):

o Employees earn 40 hours of PTO after one (1) year of employment

o Employees earn 80 hours of PTO after three (3) years of employment

o PTO begins accruing on the first and third employment anniversaries, with accrual applied per pay period

· Holidays:

o Six (6) paid federal holidays

o Additional 2–3 unpaid days off annually, typically including the day after Thanksgiving, the day after Christmas, and one additional day depending on the calendar year

· Retirement Plan: 401(k) plan offered

· Schedule Flexibility: Flexible work schedule within role requirements
