Position Overview
We are seeking a highly capable and detail-oriented Executive Assistant to provide direct administrative and organizational support to company leadership. This role is critical to ensuring smooth operations across both corporate and project-related functions. The ideal candidate will be proactive, discreet, and able to manage a wide range of responsibilities in a dynamic fast paced environment.
This is a full-time, hybrid in-office position, with flexibility to work remotely 1 day per week. Monday through Friday, 8:00 a.m.–5:00 p.m.
Key Responsibilities
Executive Support
- Serve as the primary administrative support for Vice President, managing calendars, scheduling meetings, booking travel and coordinating communications.
- Prepare correspondence, reports, presentations, and documentation on behalf of executive.
- Maintain confidentiality with sensitive company, personnel, and project information.
- Coordinate internal meetings, take minutes, distribute follow-up items, and assist in managing email communications.
Operational & Project Administration
- Organize and streamline day-to-day workflow to ensure efficiency and alignment with executive needs.
- Create, maintain, and update job files, project documentation, and company records.
- Support executives and project teams with bid organization, contracts, proposals, and client or subcontractor contacts.
Compliance & Documentation Management
- Scan, file, and manage executive documents and ensure summaries are accurate and up to date.
- Support the preparation and processing of invoices, lien waivers, and other compliance or financial documents with Office Manager.
Communication & Coordination
- Act as a liaison between executives, staff, subcontractors, clients, and external partners.
- Sort, distribute, and manage incoming/outgoing mail and executive correspondence.
Qualifications
- Proven experience as an Executive Assistant, Administrative Manager, or similar high-level support role.
- Exceptional organizational, communication, and time-management skills.
- Strong computer proficiency (Microsoft Word, Excel, Outlook).
- High level of professionalism, discretion, and problem-solving ability.
- Detail-oriented, adaptable, and capable of managing multiple priorities.
Compensation & Benefits
