Position Summary:
The Practice Administrator for will oversee the daily operation of the practice by managing administrative, allied health, clinical, and billing staff. Maintains operational budget, controls costs, and oversees the revenue cycle process. Responsible for the practice's financial success, efficient operation, recruiting/retaining skilled employees, all while maintaining the highest level of customer satisfaction. Follows all federal/state regulatory standards and established policies & procedures for the practice.
Professionally and effectively communicates with individuals at all levels of the organization. Maintains a professional and collaborative relationship with partner hospital system(s), vendors, consultants, and referral sources. Adheres to all policies related to PHI and HIPAA privacy practices.

Knowledge and Experience
- A minimum of three years of experience managing the daily operations of a fast-paced surgical practice: Required. Orthopedic experience: Preferred
- Experienced in the use of electronic health records and successful history with MIPS or similar pay-for-performance reporting: Required
- Experience with eClinicalWorks EHR: Preferred
- Experienced in revenue cycle management, and supervising an in-house billing team: Preferred
- Current knowledge of regulatory requirements: State, Federal, Medicare, OSHA, etc.
Educational Requirements
- Bachelor's degree in healthcare administration, business administration, nursing, or similar field: Required. Master's degree: Strongly Preferred
Specific Duties:
Practice Leadership and Operations:
- Recruit, interview, train and directly supervise all RCM, administrative, clinical, and allied health staff
- Maintains up-to-date employee personnel, and physician credentialing records
- Provides general human resource support, ensuring adherence to company policies and procedures related to performance evaluations, disciplinary action, hiring, and terminations
- Works with contracted payroll/benefits provider to coordinate the timely processing of employee payroll
- Conducts and documents staff meetings and in-services at regular intervals according to personnel and operational needs
- Manage the patient schedule daily to minimize wait times and optimize capacity. Closely monitor the schedule to prioritize patients with urgent clinical needs
- Monitors workflow and throughput in the clinic to keep the daily schedule moving efficiently while maintaining a high level of patient and customer satisfaction
- Verifies that the patient's EHR is prepped with all necessary information prior to the appointment, and that staff reliably acquire and enter all information designated in practice data protocols
- Monitors open encounters in the EHR to ensure they are completed and finalized by the provider within the required time (maximum of 4 days)
- Ensure that staff are dependable in confirming insurance eligibility and obtaining insurance prior authorization to support the billing process
- Minimize errors in scheduling and patient registration and work promptly with the billing staff to resolve front-end payer rejections and claim denials related to demographic entry errors
- Ensures that the facilities are clean, safe, and maintained in good working order
- Manages the relationships with janitorial and outside property management staff
- Place orders for office supplies, janitorial supplies, etc. Facilitates the approval of invoices by all personnel responsible for product ordering and submits documentation to accounting staff for
