Job Overview
The Administration and Communications Coordinator supports the mission and goals of First Parish in Cambridge by providing professional expertise essential to its wide-ranging programs and facilities operations. The Coordinator is a critical member of the staff team, working collaboratively with other staff, volunteers, and leaders and .working collaboratively with other staff, volunteers, and leaders and demonstrating initiative, integrity, and enthusiasm.

Fostering a Welcoming Culture

  • Greets congregants, community partners, service providers, and the public as the church's "first responder" to in-person visits
  • Holds a clear understanding of church programs and activities and appropriately responds to email, social media, and in-person inquiries by congregants and visitors.
  • Supports church community outreach programs such as the weekly Meals Programs providing assistance as needed to volunteers and staff managers.
  • Contributes to creating a welcoming culture on Sundays in support of the Welcome Team and Hospitality Team activities as well as on-line community Zoom access to Sunday services.

Communications

  • Independently coordinates and finalizes all internal and external printed and electronic communications, including the weekly electronic announcements and the Sunday Order of Worship.
  • Hosts online Zoom for Sunday services and coordinates after service Zoom chats.
  • Updates church website according to communications/branding guidelines.
  • Coordinates First Parish social media and monitors/promotes You Tube including volunteer opportunities with Meals Programs.
  • Responds to requests for building rentals, checks for availability and directs requests to the Director of Administration for approval.

Administration

  • Coordinates membership database, religious education enrollment, mailing lists and attendance.
  • Manages administrative systems to respond to newcomer interest and engagement in community.
  • Coordinates church calendars, coordinates room reservations and manages Zoom meeting rooms for various groups
  • Supports annual Community Auction by ensuring event dates are on the church calendar and coordinating announcements of the auction and subsequent events.
  • Support onboarding and offboarding of church employees including part-time employees
  • Responsible for routine administrative tasks such as making copies of the Sunday Order of Worship and ordering supplies

Competencies

Interpersonal skills:

  • The Coordinator will interact with a broad range of people within and outside the congregation. Establishing excellent rapport with others is a cornerstone to success in this position.
  • The Coordinator is expected to act in a manner consistent with the mission of First Parish and the of Unitarian Universalism as defined by the Unitarian Universalist Association (UUA).
  • The Coordinator will demonstrate the ability to maintain confidentiality and appropriate boundaries.
  • Ability to deal with unexpected situations and demonstrate good judgement.

Communications skills:

  • Excellent written and oral communication skills are necessary including ability to proofread and edit.
  • Ability to use Squarespace to manage the First Parish website.
  • Experience with social media including Facebook, Instagram, and Youtube.
  • Ability to effectively utilize First Parish branding.
  • Ability to use Canva to create announcements, posters and postcards for promotional purposes.
  • Ability to host Zoom meetings and provide support to Zoom users.

Organizational skills:

  • This position coordinates an array of tasks of varying complexity and time requirement.
  • The Coordinator needs to organize their time appropriately to assure timely and accurate results while working primarily independently.
  • The Coordinator will be self-directed and willing to offer ideas on improvements in the administration of the church office.

Office Software Proficiency:

  • This position requires proficiency in basic office programs, such as Microsoft Office and Google Suite. It requires knowledge of data entry and data management, web searches, and the ability to learn other programs, such as Breeze and Mailchimp.

Qualifications

  • 2-5+ years in an office environment, preference for non-profit or church management.
  • Demonstrated proficiency working with the public in a positive and professional manner
  • Experience with standard desktop software applications (Word, Excel, Outlook) as well as web content management software and database software for managing membership information
  • Demonstrated strong written and oral communications skills
  • Experience successfully working in a team environment
  • Contributes to helping build inclusive, anti-oppressive communities
