Position Summary
The Assistant Administrator supports the daily operations of Dove Home Care Nursing Services LLC by coordinating administrative functions, supporting caregivers and clients, ensuring regulatory compliance, and assisting the Administrator with overall agency management. This role requires excellent communication skills, strong organizational abilities, and the capacity to work in a fast-paced home-care environment.
Key Responsibilities1. Administrative & Office Support
- Assist the Administrator in daily oversight of agency operations.
- Handle inbound and outbound calls, including client inquiries, caregiver coordination, and partner communication.
- Maintain office schedules, appointments, and documentation.
- Support agency compliance with state and federal regulations.
2. Caregiver Coordination
- Assist with onboarding new caregivers, including document collection, verification, and orientation scheduling.
- Maintain accurate caregiver files within AxisCare or relevant systems.
- Coordinate caregiver schedules, assignments, and availability updates.
- Communicate agency expectations, policies, and updates to caregivers.
3. Client Support
- Help gather client information and assist with intake processes.
- Communicate with clients and families regarding scheduling, updates, and agency services.
- Track client needs and notify the Administrator of issues requiring follow-up.
4. Compliance & Documentation
- Ensure all caregiver and client documents are updated and meet regulatory requirements.
- Assist with audits, file reviews, and quality assurance processes.
- Maintain confidentiality and comply with HIPAA standards.
5. Operational Support
- Prepare reports, logs, and updates for the Administrator as needed.
- Assist with special projects, marketing efforts, or community outreach.
- Support emergency staffing needs when required.
- Help maintain office organization, supply inventory, and workflow efficiency.
Required Skills & Qualifications
- High school diploma required; associate's or bachelor's degree preferred.
- Experience in home care, healthcare administration, or customer service strongly preferred.
- Tech-savvy and comfortable learning new software systems (AxisCare, QuickBooks, etc.).
- Strong verbal and written communication skills.
- Ability to multitask and work with diverse personalities.
- Professional, courteous, and reliable.
- Understanding of HIPAA and confidentiality standards.
Work Schedule
- Monday–Friday, with one-hour lunch break (12:00 PM–1:00 PM).
- Some evenings or weekends may be required based on agency needs.

Reporting Relationship
Reports directly to the Administrator of Dove Home Care Nursing Services LLC.
Pay: $18.00 per hour
Expected hours: 16.0 per week
