Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Schedule appointments, maintain calendars, and coordinate meetings for staff and management
- Handle data entry tasks, including filing, proofreading documents, and updating records with precision
- Support office management by organizing supplies, maintaining filing systems, and overseeing general administrative duties
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and correspondence
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices
- Provide customer support by addressing inquiries efficiently and maintaining excellent service standards
- Perform clerical duties such as photocopying, scanning, and managing incoming/outgoing mail
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Experience in customer service or as a receptionist in medical or dental settings is a plus
- Strong typing skills with attention to detail for proofreading and document accuracy
- Ability to manage time effectively while juggling multiple responsibilities in a fast-paced environment
- Knowledge of bookkeeping software like QuickBooks is advantageous
- Personal assistant experience or calendar management expertise enhances your suitability for this role
