Job Summary
We are seeking an energetic and highly organized Front Desk professional to serve as the welcoming face of our office. In this vital role, you will manage daily front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Duties

  • Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries promptly to maintain seamless communication flow
  • Maintain appointment calendars and coordinate scheduling for meetings or appointments using calendar management tools
  • Perform data entry, filing, and document proofreading to support administrative accuracy and organization
  • Utilize office software such as Microsoft Office, Google Workspace, and QuickBooks for various clerical tasks including bookkeeping and record keeping
  • Support office management functions by overseeing supply inventory, organizing files, and assisting with special projects as needed

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills
  • Familiarity with multi-line phone systems and professional phone etiquette
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and staff
  • Previous experience as a receptionist in medical or dental settings is a plus but not required
  • Strong typing skills with attention to detail for proofreading and document accuracy
  • Ability to manage time efficiently while handling multiple tasks in a fast-paced environment
  • Personal assistant or office management experience is advantageous but not mandatory
