Overview:
The HR Coordinator is part of the Branch Administrative team and reports directly Chief Executive Officer.
Qualifications:
College diploma or University degree in a related field preferred
Ability to work in fast paced, team-oriented work environment
High attention to detail and strong organizational skills required
Experience with report preparation and strong data entry skills
Good written and verbal communication skills
Payroll experience, at least 1 year, supporting full-cycle payroll for hourly and salaried employees in Canada required
Professionalism in performance of duties
Valid Driver's License
Duties:
Payroll Duties:
- Process payroll bi-weekly for Salaried, Hourly and Casual Staff
- Onboard employees into payroll, verifying new hire documentation for accuracy and completeness and providing relevant assistance to employees as required
- Verify and reconcile all employee submitted timesheets for accuracy and completeness and follow up as required
- Process and monitor payroll related deductions
- Monitor sick, vacation, and other leave balances
- Stay updated on changes in payroll regulations, tax laws, labour laws, and ensure compliance with payroll processing
- Benefit administration including enrollment, maintenance and benefit termination
- Assist with T4 preparation
- Support in the collection of data for reporting internally and externally
- Filing and maintaining records in an organized manner
Human Resource Duties:
- Manage the daily logistics of the recruitment process, and participate in developing and implementing related process improvements
o Prepare job posting
o Formatting interview questions
o Maintain files of incoming applicants
o Complete employment references as requested
o Advise unsuccessful applicants of the job posting outcome
- Conduct pre-boarding and onboarding of employees
- Conduct employee orientation program for all new hires, as well as participate in developing and implementing related process improvements
- Prepare employment contracts and amendments for all employees
- Maintain and update employee records
- Coordinate training and maintain list for all employees
- Support the performance management process
- Support in the collection of HR data for reporting
- Assist the Finance & Administration Manager and Chief Executive Officer as required
General Duties:
- Provide coverage of general administrative and clerical support to management
- Attend, participate in team/staff meetings, and all-staff meetings as required
- Adherence to all policies of CMHA Kenora Branch including assurance of confidentiality of all clients, personnel and organizational records and information.
- Maintain Agency's stability and reputation by ensuring high standards of professional conduct and quality of care, adhering to legislative requirements, policies and procedures, funding body criteria, and professional and Branch standards.
- Be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of the Joint, Health and Safety Representative
- To participate in relevant training and development courses agreed with Team Lead the Chief Executive Officer
- Responsible for self-care
