Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and providing accurate information
- Handle appointment scheduling, calendar management, and coordinate meetings for staff members
- Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
- Support clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and professionalism
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with multi-line phone systems, calendar management, and administrative support is highly desirable
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant experience or familiarity with bookkeeping can be beneficial for broader office support tasks
