Client Coordination Specialist

Las Colinas - Irving, TX (Hybrid: 3+ days in-office)

Full-time | Exempt (Salaried)

Join Caregiver – Strengthen systems, improve data, impact lives.

About the Role

If you're looking to launch your career in healthcare operations or client services, this is your chance to make a meaningful impact while gaining hands-on experience in a mission-driven organization.

As a
Client Coordination Specialist
, you'll be the backbone of our administrative operations — ensuring every client receives uninterrupted, high-quality care. You'll manage the behind-the-scenes details that keep our services running smoothly — you'll help solve operational puzzles, manage data, and make processes run more efficiently. You'll work closely with our intake, billing, and clinical teams, learning how care delivery works across an entire organization serving individuals with intellectual and developmental disabilities (IDD).
This role is built for someone who wants to use analytical thinking to keep a complex service system running at its best.
You'll help spot discrepancies early, prevent service interruptions, and keep our internal systems aligned and compliant. If you are data-driven, organized, and motivated by improving processes and supporting operational excellence, we are ready for you

What You'll Do

  • Own client data integrity — maintain accurate, compliant records across EHR, billing, and eligibility systems
  • Analyze service authorizations to identify upcoming expirations and prevent any gaps in service
  • Review Medicaid eligibility and funding data to ensure clients maintain correct coverage
  • Evaluate and troubleshoot documentation issues, data discrepancies, or system gaps
  • Collaborate cross-functionally with intake, billing, operations, and clinical teams to streamline handoffs
  • Help refine workflows and processes for efficiency, accuracy, and compliance

What You'll Bring

  • Bachelor's degree (or equivalent experience) — ideal for recent grads interested in Health Administration, Business, Data Analytics, Public Health, Social Sciences, or related fields welcome
  • 2-5 years experience in scheduling, administrative support, or care coordination (internships and practicum experience count)
  • Strong analytical mindset - you enjoy digging into details, patterns, and data accuracy
  • Eagerness to learn Medicaid and IDD service processes — training provided
  • Comfortable using Microsoft Office and learning new tech tools

Why You'll Love Working Here

  • Career Growth:
Build real-world experience in data accuracy, auditing, service utilization trends, and workflow optimization. Be a part of tomorrow's company leadership by gaining exposure and consideration for the
    Operations Management Training
    program
  • Purpose-Driven Work:
Everything you do directly supports individuals with IDD — helping them live fuller, more independent lives.
  • Collaborative Culture:
Join a supportive team that values curiosity, accountability, and teamwork.
  • Hybrid Flexibility:
Work in our Las Colinas (Irving, Texas) office 3+ days a week with the flexibility to manage your schedule.
  • Skill Development:
Learn EHR systems, payer rules, documentation standards, and cross-departmental operations.
  • Benefits:
Access to a suite of insurances - medical, dental, vision, life insurance (paid), short/long-term disability, 401K, 2 weeks of PTO, 8 paid holidays

What Else You Need to Know

  • This position involves frequent walking, standing, sitting for extended periods of time, hearing and talking. This position involves extended periods of computer use and manual dexterity for using keyboard, mouse, and other office equipment. May involve moving or lifting items under 10 pounds.
