GENERAL RESPONSIBILITIES:

The Facilities Director provides strategic and hands-on leadership for all facilities, plant operations, safety, and physical environment functions across the enterprise. This role also ensures regulatory compliance, operational reliability, cost control, and a safe, patient-centered environment of care.

RESPONSIBILITIES:

General Responsibilities

  • Oversee day-to-day operations of all buildings, grounds and physical infrastructure.
  • Conduct routine facility rounds to identify safety risks, deferred maintenance, and environmental issues.
  • Respond to urgent facility issues impacting patient care (to include HVAC failures, plumbing, electrical, and life safety incidents).
  • Coordinate work orders and preventive maintenance schedules across all sites.
  • Supervise facilities, maintenance, and environmental services staff.
  • Prioritize and dispatch internal staff or external vendors based on clinical impact.
  • Ensure clinical spaces remain compliant with infection control and safety standards in conjunction with clinical leadership.
  • Maintain accurate documentation of maintenance activities and corrective actions.

Preventative Maintenance/Asset Management

  • Develop and manage a comprehensive Preventive Maintenance (PM) program.
  • Maintain inventory of all facility assets (HVAC, generators, medical gas, boilers, elevators, etc.).
  • Ensure timely inspections, testing, and servicing of critical systems.
  • Oversee life-cycle planning for capital equipment and building systems.
  • Track deferred maintenance and develop mitigation and replacement plans.
  • Maintain equipment service contracts and warranties.

Regulatory Compliance/Environment of Care

  • Ensure compliance with: The Joint Commission, OSHA, NFPA, Life Safety Code, (New York State DOH, OMH, OASAS, OCFS, OTDA, and other regulatory entities), state and local building, fire, and safety codes
  • Co-facilitates the Facilities Management and Emergency Operations Committee.
  • Prepares facilities for accreditation surveys, and fire inspections.
  • Maintain documentation for life safety drawings, risk assessments, and compliance plans.
  • Conduct and document emergency preparedness drills related to facilities operations.
  • Ensure proper signage, accessibility (ADA), and patient safety features.

Project Management/Space Planning

  • Lead facility renovations, expansions, and new site build-outs.
  • Coordinate with architects, engineers, contractors, and local authorities.
  • Ensure projects meet clinical workflow, regulatory, and safety requirements.
  • Develop project scopes, timelines, and budgets.
  • Oversee punch lists, inspections, and occupancy approvals.
  • Coordinate clinic moves, space reconfigurations, and service expansions.
  • Collaborate with clinical leadership on space utilization and workflow.
  • Support opening of new services and clinics.
  • Ensure exam rooms and clinical spaces meet operational needs.
  • Coordinate Furniture, Fixtures, and Equipment (FF&E).
  • Maintain clean, functional, and welcoming patient environments.

Reporting

  • Provide regular reporting to the COO on: Facility risks; Capital needs; Deferred maintenance; Regulatory readiness; Cost management/mitigation
  • Participate in organizational planning and growth initiatives.
  • Serve as a trusted operational partner to clinical and administrative leaders.

Miscellaneous

  • Demonstrates excellence in both internal and external customer service.
  • Ensures and/or remains in compliance with local, state, and federal regulation, i.e. DHHS HRSA and NYSDOH, and all accreditation standards (e.g. Joint Commission and NCQA-PCMH).
  • Adheres to the National Patient Safety Goals as defined by the Joint Commission and Whitney M. Young Jr. Health Center.
  • Completes other duties as assigned.

Requirements:

MINIMUM QUALIFICATIONS:

  • Five (5) years of facilities management experience.
  • Three (3) years' experience in the administration of maintenance and repair facilities.
  • One (1) year supervisory experience.
  • Excellent communication skills.
  • Strong documentation and organizational skills.
  • Budgeting and vendor negotiation skills.
  • Strong understanding of regulatory and safety requirements

PREFERRED QUALIFICATIONS:

  • Eight (8) years' experience in the administration of maintenance and repair facilities
  • Three (3) years' supervisory experience
  • Healthcare facilities management experience (to include The Joint Commission readiness)
  • Project management and capital planning expertise
  • Collaborative leadership style with clinical sensitivity

Salary Range: $105,000 - $137,000 annually
