RESPONSIBILITIES:
The Administration Supervisor position is a supervisor level position and is responsible for overseeing the work of Administrative and Duplication staff. In this position, the Administration Supervisor will develop and support staff within an office environment, work closely with field staff to ensure their logistics requests are addressed, manage vendor relationships including ordering materials and maintaining equipment, and lead special projects related to the administrative needs of the Local.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
- Provide resources and support to field campaigns across the union, acting as a point of contact for field staff to make requests for their campaigns
- Collaborate with staff and leadership to ensure request processes are adhered to in order to ensure a smooth flow of operations
- Coordinate office events, meetings, and large scale efforts utilizing Administrative staff and resources appropriately
- Record and track vendor transactions including food orders, office supplies, and other materials for reporting purposes to be reviewed by the Director of Administration
- Maintain continuity of operations by documenting and communicating needs to management and stepping in to support where applicable
- Oversee workflows of Administrative staff to identify any inefficiencies or need for change in assignment to be communicated and implemented alongside the Director of Administration
- Prepares agendas and takes notes at meetings to support leadership and accurately document consistent with the needs of the organization
- Ensure that Administrative staff are complying with operating procedures and organizational expectations, providing staff support and feedback when appropriate
- Manage, update, and audit organizational databases, filing systems, and administrative records as needed
- Assist with the development and implementation of standard operating and internal procedures
- Coach and develop Administrative staff to build skills and support opportunities for growth through trainingand goal setting
- Lead staff through implementation of changes to process or systems by providing training and oversight
- Liaison between the Administrative staff, field staff, and the leadership team in processing requests as wellas union-wide efforts or events
- Manage special administrative project assignments provided by leadership to support the operations of theLocal
- Identify opportunities for Administration and Duplication to better support staff and members both in theoffice and the field
- Perform other related duties as assigned
MINIMUM QUALIFICATIONS:
- Preferred experience in managing and developing staff (managing unionized staff desired)
- Minimum of 3 years' experience in an administrative capacity
- Experience leading projects or functions in an office environment
- Intermediate proficiency in Microsoft Office platforms preferred
- Supervisory experience in an administrative role a plus
- Strong written and verbal communication skills
- Willingness to work long and irregular hours, including weekends, and participate in all union-wide activities
- Commitment to social justice and building power for workers
- Ability to communicate, work effectively and relate respectfully with members and staff from diverse ethnic,social, and economic groups
SALARY AND BENEFITS:
- Salary range $104,668.72 – $109,868.72
- Fully paid benefit package including medical, dental, vision and a generous life insurance.
